• Telephone

- Handle incoming calls and mailing: company presentation; taking guest’s name and company for receivers before putting the phone call through; taking accurate messages if the wanted person is absent

- Deal with queries from internal and external callers to ensure they are referred in a timely manner to the concerned staff.

- Update the list of employee’s phone numbers and e-mail address (new/ leave and change) and COMIN branches contact.

• Visitors

- Welcome visitors (register visitors on log book, accompany them to visit staffs)

- Give the visitors specific instruction and send the visitor to the right address/right person

- Unknown visitors should not be allowed in without accompanied person

- The entry door should be always closed

• Documents IN/ OUT

- Ensure all incoming mails/ faxes/ docs/ letters are properly disseminated and brought to the attention of concerned staff; and ensure that all outgoing ones are delivered on timely manner.

- Handle incoming and outgoing courier and delivery services of documents and parcels: record name, address, air way bill before delivery (with senders’ /receivers’ signature)

- Fax documents: copy fax in, give to addressee; send fax out, stamp; record the fax diary.

- Send/ receive/ delivery/ record as per company procedure from time to time.

- Post Boxes: check twice a day after post distribution at 9 AM and 3 PM and conduct on-time delivery of all the posted documents/letters/newspapers to the right addressees with great care on the urgent and important ones

• Office machines / equipments (Fax machine, Photocopier, Print machines…)

- Keep office machines / equipments always clean

- Follow up Service Contracts

- Follow up Equipment Warranty

- Call technical service for any arising problems

- Ensure that paper A3, A4, cartridge, toner in Fax machine, Photocopier is always available, especially before living at end of the day (always 1 reserve cartridge in stock).

- Ensure that the projector in meeting room is always available

- Keep contact with concerned supplier.

• Public area (Meeting room, Reception, Pantry, Toilet …)

- Keep the reception area always clean and presentable

- Check the cleaner jobs to make sure the cleaning and tidiness of all public areas including the meeting room, pantry, toilet (all lights on and no leaking water)... and the readiness of glasses, cups, spools...; coffee and drinking water.

- Be in charge of meeting room reservation, keep table, chairs, whiteboard clean and in order, coordinate with the cleaner to prepare welcome drinks, tea breaks when required.

• Air tickets/Hotel booking

- Book Air tickets, Hotels (and travel insurance for trips abroad as required) following company policy for staffs/ with full follow-up of reservation; information check; change, delay, cancel (if any); and make record for payment.

• Stationary management

- Order and distribute stationary timely upon request

- Be in charge of calling suppliers for printer ink filling, cartridge replacement

- Keep record on the stationary inventory.

- Keep contact with the stationary suppliers and make suppliers assessment yearly.

• Company stamps

- Keep and manage the use of company stamps

- Keep record of the stamped documents/papers

- Prepare necessary procedures for changing company stamps when required.

• Administration

- Check the car booking and schedule

- Update Telephone and Fax Bills, make payment to Post Office

- Check daily tender information on newspaper and make copy for relevant managers.

- Deliver drinks daily to company management

- Deliver English newspaper to General Director every day.

- Check electric cut off schedule everyday and inform all staffs when there is a cut-off in the office.

- Do some printing works: contact and compare printing houses, work on the confirmed marquette before printing…

- Dealing with office owner, local police and authority, related service company if required.

- Purchase office drinking water and office equipments.

- Supervise the cleaner and make sure that she well do her jobs.

- Follow-up and update list of mobile phone limits / entitlement, make invoice submission of mobile phone bills and mobile card, submit the over limit amount to HR for salary deduction.

- Follow-up, updates the taxi card validity, monthly expense report/ summary; cost proportion into projects based on real expense.

- Proceed payment for: stationeries, domestic and oversea postages, air tickets, car rental, hotel expenses, fresh flower, newspaper, ink and cartridges for fax machine - photocopiers - printers, office telephone, mobile allowance for staffs, office water and electrical fees, office drinks, others or any arising expense for office;
