Position: Secretary Cum Public Relations
Be well-informed efficient day to day Executive secretarial and administrative support to General Manager, inclusive of highly confidential and sensitive matter to ensure the smooth operation of Executive office:
- Handle all secretarial duties such as organize meeting schedule, correspondences, management papers and filling , flight and hotel reservation, social functions, , administer stationaries and attend to inquiry calls or walk-in enquiry
- General office administration and maintenance to GM’s office
- Attend meetings, record, write and distribute the daily briefing minutes and follow up on action items which should be sent to all HODs
- Compile the weekly report from FO, F&B, Kitchen, Maintenance, Garden, HSK, Spa, Finance, IT, Sale, Security and HR Dept. which was will be submit to GM on every Monday morning
- Collect and compile the Manager on Duty report from head of department daily and send it every Saturday
- Prepare simple interpretation of documents/correspondence and make some report related maintenance work according to GM requirement
- Collect and make Guest Satisfaction Index Report based on guest comment and survey which will be sent to the mother company on the first dates of every month
- Establish and maintain various filling, records, database of business and sales contract, trace pending items and follow up as appropriate
- Compose the letter on the behalf of GM
- Maintain strict confidentially and interact professional at all levels of management, staff and guest at any time
- Undertake other special assignment, ad-hoc functions or duties as or when requires
