- Prioritize, channel and facilitate communications between the Chief Executive Officer and the board of directors, staff, volunteers, donors and other key stakeholders.
- Assist the Chief Executive Officer with the development and distribution of schedules, agendas, presentations and minutes for executive staff meetings, management meetings, board of directors meetings, board committee meetings, conference calls and other events.
- Coordinate office activities; develop and recommend office and file retention procedures and systems; maintain meticulous files and records.
- Assemble, format, and maintain strategic and operating plans, management reports, and databases.
- Assist the Chief Executive with the development and implementation of a staff recognition and communications program.
- Assist with fundraising, marketing and research projects.
- Process and screen phone, mail, electronic and other communications, and use independent judgment to determine items that require priority attention.
Independently respond to letters and general correspondence of a routine nature.
- Make travel arrangements; maintain appointment schedules and calendars; schedule meetings and conferences.
- Order and maintain office supplies for all departments; maintain inventory and requisition records.
