Customer Care Representative JOB SUMMARY: Reports to manager of customer care, coordinating the details and functions required for the sales department to complete the order process. This includes, but is not limited to, order entry; and then works closely with production planning, package development, design, manufacturing, shipping, accounting, quality, pricing, and related departments to complete the sales transaction. Analyzes customer inquiries and coordinates the resolve of these inquiries using the resources and department personnel available. Ensures orders received are accurate and reflect the proper payment terms, specification reference and pricing per individual agreements with clients. Serves as a liaison between the customer and the organization. ESSENTIAL FUNCTIONS: Primary contact person for the customer, through daily phone and email communication, provides quick response and follow-up to all inquiries Enters and tracks orders in SAP Represents the customer and needs of the customer inside the organization Able to express these needs to internal departments in both written and verbal form Maintains files of correspondence, pricing, orders and provides customers with status reports Maintains and updates customer master files. Responsible for adherence to company policy and procedures Ensures customer specification information is current and on file Responsible for the accuracy of information from the customer through the order process Coordinates shipments to ensure that they arrive at their desired destination on time Monitors customer payment history and reconciles issues, coordinating this effort with the sales department and credit department. Enters customer complaints in the notification system. Processes return & credit orders as needed. Attends customer meetings, both internally and externally, as required May participate on internal teams, evaluating current business processes, making recommendations to increase speed of information back to customer. Works closely with sales department to meet revenue objectives ADDITIONAL RESPONSIBILITIES: Demonstrates sound communication skills in dealing with all customers and coworkers in all related departments. Actively participates in meetings as requested. Performs all other duties as assigned.
