The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. We are currently seeking a Director, Meetings & Travel, for our Chicago office. Purpose The Director will provide staff direction and leadership, accomplishing the unit’s vision, mission, and objectives in concert with the strategic plans of the association. This position’s purpose revolves around successful contract negotiation and the day to day management of the meeting planning and special events area of the Meeting and Travel Services Department. Strong internal operations leadership is needed to respond to the demands of the AHA internal clients for exemplary customer service and cost–effective management. Essential Functions Manage the governance meeting planning process by providing cost-effective, efficient, yet high quality meeting and travel services to the AHA membership. Manage the governance planner and the meeting planner who are responsible for the logistics for governance meeting including Regional Policy Board Meetings, Sections, Governing Councils Meetings and AHA Board of Trustees Meetings. Work on the cornerstones of the Business Unit, to conserve resources, provide economies of scale, ensure quality standards, and increase leverage and technology. Develop and maintain effective relationships with the internal governance clients (Office of the Secretary, Regional Executives, Governing Council Directors). Ensure that American Hospital Association's clients obtains the highest level of meeting services. Oversee Governance Contract Negotiations: Oversee the process for contracting the hotels for all 85+ governance contracts including the AHA Board of Trustee Meetings, Governing Councils, and Regional Policy Boards (RPBs). Review, approve and authorize these contracts. Mitigate AHA’s financial liability by providing a safeguard for contract language that protects the association through an AHA standard addendum and trouble shoot any meeting issues for successful resolution. Oversee the AHA Internal Meeting and Travel Services webpage. Conduct an AHA National Sales Meeting, once a year to highlight AHA’s volume of business with hotel suppliers.  Negotiate the AHA Hotel Transient rates for both Chicago and DC travelers. Oversee Governance Contract Negotiations: Oversee the process for contracting the hotels for all 85+ governance contracts including the AHA Board of Trustee Meetings, Governing Councils, and RPBs. Review, approve and authorize these contracts. Mitigate AHA’s financial liability by providing a safeguard for contract language that protects the association through an AHA standard addendum and trouble shoot any meeting issues for successful resolution. Oversee the AHA Internal Meeting and Travel Services web page. Conduct an AHA National Sales Meeting, once a year to highlight AHA’s volume of business with hotel suppliers. Negotiate the AHA Hotel Transient rates for both Chicago and DC travelers. Meeting Services: Build a comprehensive meeting planning system with a document back up structure on the Q:/ drive and smartsheet. Oversee the creation of high profile events for CEO hospital membership to include the AHA Board Retreat, AHA Board of Trustee Annual Meeting Events, the Health Forum Summit, Board of Trustee Events, the Executive Committee Retreat and the November Board of Trustee Meeting. Manage the governance meeting planning process through providing cost-effective, efficient, yet high-quality meeting and travel services to the AHA membership. Manage the governance planner who is responsible for the logistics for governance meetings including: Regional Policy Boards, Sections, Governing Councils Meetings and AHA Board of Trustee Meetings. Approve all meeting BEOs, meeting calls; ensure all housing deadlines are met; track all meeting planning systems including timelines and budgets to ensure accuracy and on-time completion. Provide help with the day to day management of Meeting and Travel Services including: Oversee personnel issues for 2 FTE including the AHA performance management systems; assist in the collection and distribution of AHA hotel royalty payouts; develop and implement a work plan for the area given the projected workload  including travel schedules; play a positive role in creating a culture that supports personal job satisfaction within MTS; back up the Vice President on travel and hotel contracting issues.
