ARIZONA AGRIBUSINESS & EQUINE CENTER   Executive Assistant EXPECTATIONS   General Statement:   The AAEC Executive Assistant is an integral part of the everyday effective running of each site. They will maintain a professional approach to education, by demonstrating strong customer service, communication and organizational skills. The executive assistant will adhere to all AAEC District policies and procedures and will be responsible to the campus Administration and the Assistant Superintendent for Administrative Services or the Assistant Executive Director. The executive assistant shall possess skills that will enable them to be productive as a data driven position with responsibilities of scheduling, registration, attendance, data entry, and development of excel reports and other duties as assigned by the administration.   Responsibilities of the Executive Assistant:   The executive assistant will assist the campus administration in developing a strong moral and cohesive atmosphere for staff and students. The executive assistant will be in charge of registration, attendance, customer service and make the front office a welcome and warm place for parents and students to come to.   Expectations of the Executive Assistant:   THE CAMPUS Executive Assistant WILL:   1. Exhibit exceptional customer skills, on the phones and in person. 2. Understand and demonstrate a full knowledge of AAEC policies and procedures. 3. Able to do scheduling on the AAEC Pro. 4. Produce quality reports to the district when requested. 5. Develop and produce statistics requested by the district for students and staff. 6. Certify transcripts for students. 7. Be responsible for keeping up dated student data, entry and withdrawal dates. 8. Manage and order offices supplies for the campus. 9. Establish a warm and inviting office area for parents and students. 10. Will be reactive to District requests for information on a timely manner. 11. Participate in all scheduled meetings or presentation as established by the District office. 12. Verify and authorize all documentation from their respective campuses. 13. Assist the administration in developing master schedules for each semester. 14. Understand and enforce FERPA rules for confidentiality. 15. Able to develop upon request any reports as needed on student data. 16. Establish a professional rapport with students and with staff. Display the highest ethical and professional behavior and standards when working with students, parents and school personnel. Serve as a role model for students, dressing professionally, demonstrating the importance and relevance of learning, accepting responsibility, and demonstrating pride in the education profession. 17. Notify immediately the Assistant Superintendent for Administrative Services or the Assistant Executive Director and appropriate agencies when there is evidence of substance abuse, child abuse, child neglect, and severe medical or social conditions, potential suicide or students appearing to be under the influence of alcohol or controlled substances. 18. Keep the staff informed and seek ideas for the improvement of the school. Participate in meetings, as necessary, for the proper functioning of the school: bi-weekly meetings for all school staff are recommended. 19. Maintain the AAEC inventory system for all school supplies, material and equipment on yearly basis. 20. Establish procedures that create and maintain attractive, organized, functional, healthy, clean, and safe facilities, with proper attention to the visual, acoustic and temperature. 21. Communicate regularly with parents, seeking their support and advice, so as to create a cooperative relationship to support the students on the campus. 22. Use effective presentation skills when addressing students, staff, parents, and the community including appropriate vocabulary and examples, clear and legible visuals, and articulate and audible speech. 23. Use excellent written and oral English skills when communicating with students, parents and teachers. 24. Complete in a timely fashion all records and reports as requested by the Governing Board, and or the District Administration. Maintain accurate attendance records for staff as well as students. 25. Protect confidentiality of records and information gained as part of exercising professional duties and use discretion in sharing such information within legal confines.
