Location: Los Angeles, CA Department: State Operations and Programs Reports to: Senior Director, State Operations, South/West Region # of direct reports: varies Position Overview: The Director, State Operations and Programs (California) is responsible for providing support to all staff statewide in the areas of programs and operations, and ensuring that all programs are achieving Best Buddies standards of excellence, all staff are properly trained, office infrastructure is in place and working properly, expenses are accurately tracked, and deadlines for reports to funders and headquarters are understood and met. Job Duties include, but are not limited to: Programs Works with their regional Director, State Programs, to develop a statewide programs strategy and oversees its implementation, including expansion goals, training initiatives for staff and participants, programs events, and parent engagement Works with the Director, Jobs, to develop a statewide jobs strategy and oversees its implementation, including obtaining certifications for jobs services, ensuring employer, participant and billing data is updated in set-works database, jobs expansion goals are met, and support training initiatives for staff Oversees all day-to-day operations statewide, including fielding inquiries regarding chapter expansion, exploring government opportunities and works to ensure the highest level of quality in all programs statewide Trains all state staff and ensures that all programmatic goals are understood and met, all reports and paperwork are submitted accurately and on time, and all programs are operating in accordance with Best Buddies' expectations and best practices Attends local chapter events, job site visits and program activities in order to remain engaged with program participants and observe programs staff in the field Oversees statewide and local volunteer training initiatives including Local Leadership Training Days, Advisor trainings, Jobs trainings, and Ambassador trainings Works in partnership with the State Director to support job development and program partnership opportunities with corporate and individual donors Marketing and Fund Development Works in partnership with the State Director to identify prospective board members, committee members, donors and supporters within program participants, parents, and volunteers Works in partnership with the State Director to ensure that program participants and staff are appropriately integrated into fundraising efforts, and that grant proposals reflect realistic programmatic goals Provides guidance to state staff regarding appropriate involvement of participants in fundraising activities Works in partnership with the with the State Director to create a strong presence for Best Buddies programs in the state through public speaking, community involvement, public service announcements, and other media initiatives Serves as the lead contact for the state in networking with government officials and other developmental disability agencies to build relationships and partnerships to promote Best Buddies Works with the State Director and state staff on statewide newsletter, including requesting and coordinating staff submissions, editing, and making decisions about layout Human Resources Directly supervises Program and Jobs Supervisors and Program Managers as needed, including approving all reports and time off requests, conducting staff evaluations, and providing accountability, relevant feedback, and appropriate motivation Manages hiring/recruitment of Programs/Jobs staff, including posting positions, screening resumes, and conducting interviews Monitors due dates for actions using the online staff portal, and works with Jobs and/or Program Supervisors to ensure that reviews, time off requests, candidate screening, and employee recognition are completed accurately and on time Provides both formal and on-the-job staff management training to Program Supervisors when applicable Administrative Manages reporting for government contracts and foundation grants and ensures that Best Buddies is meeting all guidelines and contractual agreements effectively and on a timely basis Reviews and approves all contracts, check requests, and orders for office infrastructure, including copiers, telecommunications, computers, and postage Maintains communication with Senior Director, State Operations, South/West Region with timely reports, quarterly goals, and other information as directed Works with the Senior Director, State Operations, South/West Region on developing and managing the state plan initiatives and statewide operational budget Oversees the management of the state's budget, tracking expenses and revenue and submission of monthly budget projections Uses the online reimbursement system to effectively track and manage reimbursement requests Oversees accurate completion and submission of all billing for the Jobs Program when applicable Reviews and approves local walk event budgets to ensure they are accurate, achievable, and in alignment with Best Buddies policies regarding revenue/expense ratios Reviews funding spreadsheets and effectively communicates with their regional State Operations Team regarding changes, including grants received, chapters opened or closed, and staff changes
